( 01 — Overview )

A clinic that doesn't exist, built to be tested.

Smile Dental is a dental clinic in Pune that I made up, so I could build the whole system and test it from the first message to the booked appointment.

It has a website with treatment pages, a visit planner for patients travelling in from abroad, and Riya, who answers chats on the site. Every patient, phone number and booking on this page is sample data.

( 02 — The problem )

Enquiries arrive when nobody is free to answer.

A small clinic's front desk is busy with the patients in front of it. Messages that come in during a procedure, at lunch or after closing have to wait.

Some of them are answered late and some are forgotten. A patient who hears nothing back may simply call the next clinic on the list.

( 03 — What I set up )

Five parts, each with one job.

They pass the enquiry along, so nobody has to copy it from one place to another.

Website
Explains each treatment in plain words, with a planner for patients travelling in.
Riya
Answers chats on the website and takes the patient's name, phone and preferred time.
Enquiry list
A Google Sheet that gets one new row for every patient, filled in automatically.
Inbox alerts
An email to the clinic for every new enquiry.
Appointment diary
When the patient confirms a time, the appointment goes into the clinic's Google Calendar.

( 05 — What the clinic gets )

Found, trusted, and answered, even after hours.

  • Every enquiry written down in one list, with the patient's name, phone number and preferred time.
  • An email for each one, so the front desk sees it without opening anything else.
  • The appointment in the diary once the patient confirms a time.
  • A person always in control: Riya takes the details, and your team calls the patient to confirm.
